Missed Call Text Back and Call Forwarding for a Trade Business

The simplest fix for missed calls is the one most trades skip: forward the line when you cannot answer, and text the caller when you miss them anyway. Here is how to set both up in ten minutes, what the text should say, and where this stops being enough.
Conditional forwarding: ring you first, then somewhere else
Unconditional forwarding sends every call away. Conditional forwarding rings your phone first and only forwards the calls you do not pick up, the ones that arrive while you are on another call, and the ones that come in when you have no signal. That is the one you want.
The GSM codes work on AT&T, T-Mobile and most carriers built on them. Dial them from the phone's keypad, with the destination number in full international format (1 plus the ten digits for the US).
| Condition | Set | Cancel |
|---|---|---|
| No answer | *61*1XXXXXXXXXX# |
##61# |
| Busy | *67*1XXXXXXXXXX# |
##67# |
| Unreachable (no signal) | *62*1XXXXXXXXXX# |
##62# |
| All three at once | *004*1XXXXXXXXXX# |
##004# |
Verizon uses *71 followed by the number for no-answer and busy forwarding, and *73 to cancel. On a VoIP or office phone system (RingCentral, Grasshopper, Ooma) the same rule lives in the admin panel under call handling, and it is usually clearer to set it there.
Two things to check after you set it. Call your own line from another phone and let it ring: it should forward after about four rings, which is 20 to 25 seconds. And check that your personal voicemail is no longer picking up first, because if the voicemail timer is shorter than the forwarding timer, the forward never fires.
What to forward to
A voicemail box is the wrong destination; it is where the lead was already going. The forward should land somewhere that answers: a second person, an office line during hours, or an answering service. How a service handles the after-hours call covers what should happen next.
Missed call text back: the ten-second save
Even with forwarding set, some calls go nowhere. The caller hangs up during the first ring, the forward fails, the service is at capacity. A missed-call text back catches those. Within about a minute of a missed call, the caller receives one text:
Hi, this is Bayshore Heating. Sorry we missed your call. What can we help with? Reply here or call back and we'll pick up.
What makes this work is that it is one message, it is fast, it names the business, and it asks a question. Callers reply to questions. "Thanks for calling" with no question gets nothing.
What makes it fail: sending it to everyone including the robocall that just rang you; sending it to a customer who already has your personal number; sending a second message an hour later; linking to a form. One text, one question, then a person answers the reply.
Most office phone systems and CRMs for trades have a missed-call text feature; if yours does not, a Google Voice line or a cheap texting tool can trigger one from a missed call.
The honest limit
Forwarding plus a text back is a good setup for a one-truck shop with a light phone. It is not enough for a shop where the phone is the business. The text cannot take the address, cannot say the diagnostic fee, cannot book an arrival window, and cannot transfer a gas-smell call to the on-call phone. For those, the forward needs to land on something that answers.
That is where an answering service, live or AI, comes in. The cost comparison works the monthly numbers, and the AI vs live comparison covers which to pick. In both cases the forwarding setup above is still the first step: ring you first, forward the rest.
AnswerWren gives you a number to forward to, answers on the first ring, and sends a two-sentence summary of every call. Set the no-answer forward to it and keep the text back for the calls that still slip through.
Questions
What is missed call text back?
An automatic text sent to anyone who calls and does not reach you, usually within a minute, saying you saw the call and asking what they need. It turns a hang-up into a conversation and holds the caller for a few minutes while you finish what you are doing.
What is the code to forward calls when I don't answer?
On most US carriers dial 61 followed by the destination number and # (for example 6116693261648#). To forward when busy use 67, for unreachable use 62, and 004 with the number sets all three. Dial ##61# (or ##004#) to cancel. iPhone users on AT&T and Verizon can also set it under Settings, Phone, Call Forwarding.
Does the missed call text back replace an answering service?
No. A text back holds the caller for a few minutes; it does not take the address, quote your fee or transfer a gas-smell call. For a trade line, pair it with an answering service: the service answers when you cannot, and the text back covers the calls that go nowhere.
Will a text back annoy customers?
A single short text within a minute does not. Repeated texts, texts to existing customers who called your personal cell, and texts that read like marketing do. Send one, say you saw the call, ask what they need, and stop.
