How Much Does an Answering Service Cost in 2026?
AnswerWren Team · Oct 17 · 5 min read
Pricing pages for answering services are written to be compared with each other, not with your phone bill. One quotes minutes, one quotes calls, one quotes "unique customers", and none of them tells you what you will actually pay in a month when a storm hits and the phone will not stop.
This is the plain version: the three pricing models, the numbers published in October 2026, the fees that live in the fine print, and a two-minute way to work out your own cost per answered call.
The three ways you get billed
Per minute
The classic model. You buy a bucket of talk minutes (50, 100, 200) and pay a per-minute overage beyond it. Every call is rounded up to the next minute, so a 20-second "are you open?" costs a full minute. Live operator services almost all bill this way; most AI receptionists do too.
Per-minute suits shops whose calls are short and frequent: hours, prices, "can someone come out", done in ninety seconds. It punishes long calls, and it punishes operators who are slow.
Per call
A flat charge for each answered call, however long it runs. Smith.ai publishes this model: as of this month its entry plan is free for the first 25 calls, then $150 a month for 75 calls, which works out to $2 a call; spam and wrong numbers are not counted. Per-call suits businesses with long, complex calls (a legal intake, a medical scheduling call) and is expensive for a trade line full of thirty-second questions.
Per unique caller
Goodcall bills by unique customers per month: one phone number counts once, however many times it calls. For a shop with repeat customers who call three times about one job, this is kinder than per-call. For a shop with mostly new callers, it is the same as per-call.
Flat monthly with included minutes
Most AI receptionists sit here: a monthly plan that includes a set number of minutes, with a published per-minute overage. AnswerWren's plans are $49 for 150 minutes, $99 for 400 and $199 for 1,000, with overage from $0.25 down to $0.20 a minute. Rosie and Dialzara publish entry plans in the $29 to $49 range with smaller minute buckets.
What live services cost
A live answering service for a small business in 2026 runs roughly $245 to $500 a month for 50 to 100 minutes, depending on whether you want 24/7 coverage, bilingual operators and appointment booking. Overage runs $1.50 to $3 a minute. For a home-service company that gets 100 calls a month averaging two minutes, 200 minutes of talk time lands between $450 and $700 once overage is counted.
That is not a criticism. A trained operator who can calm a flooding-kitchen caller is worth money. The question is whether every call needs that operator, or whether most of them are "how much is a service call" and "are you open Saturday".
What AI receptionists cost
AI services answer every call at once and do not bill operator time, so the plans are cheaper and the minute buckets are bigger. Published entry plans run $29 to $49 a month; plans with emergency transfer and booking run $99 to $199. On AnswerWren's $99 plan, 400 minutes covers roughly 160 to 200 calls, which puts the cost per answered call around 50 cents.
The catch is quality, not price. A cheap AI receptionist that invents a price or promises a time costs you more than any plan fee. Read the next section before you pick on price alone.
The fees that are not on the page
Ask for every one of these in writing:
- Setup or onboarding fee. $50 to $300 at some live services; usually none at AI services.
- After-hours and holiday surcharges. Some live services add 10 to 25 percent for nights and weekends. For a trade, nights and weekends are the point.
- Per-transfer fees. $0.50 to $1.50 each time an operator patches a call through to you.
- Per-message fees. A charge for each text or email relay. Check whether a summary of every call counts.
- Rounding. Per-call rounding to the minute is standard; some services round to the nearest 30 seconds, which matters on short calls.
- Minimum term. Annual contracts with an early exit fee are common at larger bureaus. Month to month is normal for AI services.
- Overage rate. The published rate, and whether it changes once you cross the bucket.
Work out your own cost per answered call
You need two numbers from your phone bill or your call log: calls per month and average call length. If you do not have them, count a week and multiply by four.
- Minutes a month = calls × average minutes, with each call rounded up. A shop with 120 calls averaging 1 minute 40 seconds uses about 240 billable minutes.
- Monthly bill = plan price + (minutes over the bucket × overage rate).
- Cost per answered call = monthly bill ÷ calls.
Worked example, 120 calls and 240 minutes:
| Plan | Bill | Per call |
|---|---|---|
| Live service, 100 min at $300, $2/min overage | $300 + 140 × $2 = $580 | $4.83 |
| Per-call service at $2 a call | $240 | $2.00 |
| AI receptionist, 400 min at $99 | $99 | $0.83 |
| AI receptionist, 150 min at $49, $0.25/min overage | $49 + 90 × $0.25 = $71.50 | $0.60 |
Under $1 a call is excellent for a trade line. $2 to $4 is normal for a live service. Over $5 means the plan does not match your volume; move up a bucket or change model.
What the cost buys, and what it does not
The cheapest plan that still does the job is the one where the service says only true things. For a trade, the things that cost you jobs are not minutes: they are an invented price, a promised arrival time, a gas-smell call that went to a message, and a sales call that reached you on a ladder. Price the plans, then call the test number and ask for a price you never gave it. The right answer is "I'll have the team confirm."
AnswerWren publishes all three plans, the overage rate, and nothing else; the 14-day trial runs on a shared test line before you forward a thing.
Questions
How much does an answering service cost per month?
For a small business, live operator services run about $245 to $500 a month for 50 to 100 minutes of talk time, with overage billed per minute. AI receptionists run about $29 to $99 a month for 150 to 400 minutes. Per-call plans sit in between, around $2 a call on current published pricing.
Is an answering service billed per call or per minute?
Both models exist. Per-minute plans bill talk time, usually rounded up to the minute per call. Per-call plans charge a flat amount for each answered call regardless of length. A newer model bills per unique caller per month. Minutes favour short calls; per-call favours long ones.
What fees are not on the pricing page?
Setup fees, after-hours surcharges, holiday rates, per-transfer fees, per-message fees, and a minimum term. Ask for all of them in writing before you forward your line.
What is a fair cost per answered call?
Divide the monthly bill by the calls actually answered. For a trade shop with 100 to 150 calls a month, under $1 a call is excellent, $2 to $4 is typical for live services, and over $5 means the plan is wrong for your volume.
